We are thankful for your business and want to tell you more about how apartments on Urbandoor work so you can be set up for success.

Urbandoor is a global marketplace for furnished apartments built for professionals. All the apartments on Urbandoor are operated by professionals, too. There are no individual hosts or private homes. Just turnkey apartments designed to be work-ready so you can move-in with just your suitcase. To see a full list of what each apartment comes with, click here. Parking, housekeeping, and pets may be additional.


What to Expect: Your Step-by-Step Guide


1: Confirm your stay

Your A&I Travel agent will book an apartment based on the specifications from your HCTec recruiter.  You will then receive an Urbandoor email, asking you to confirm your stay.

If you need to request changes, first get approval from your HCTec recruiter. After you have approval, email Barbara Melton at A&I Travel (barbara@aitvl.com) to request adjustments. Failure to do so will result in a slower response time and the potential inability to meet your requests. Please note that some apartments may also require a background check.

2: Sign in 

You will then be prompted to sign in.

If this is your first time on Urbandoor, you will set a password and agree to the Guest Terms of Service.

3: Complete details

We need this information in order to send your arrival instructions, including how to access your apartment.

The credit card information is for incidentals (such as damage to the apartment under $150, which is the deductible on the resident Renter’s Insurance. Accidental damage coverage is up to $7,500 per stay under your complimentary policy). All other charges will be paid by HCTec. Failure to submit these details could result in a booking cancellation.

4: Add emergency contact info

This helps ensure that communication happens to the right people in case of an emergency.

This information is a requirement of the HCTec company agreement.

5: Keep lookout 

Arrival instructions will arrive via email.

You will receive them 72 hours and again, 24 hours before your move-in date.

From there, enjoy your stay!

Should you have any questions about arrival, parking, billing, etc. there is 24/7 virtual support provided by Urbandoor.

Need to extend?

Every effort is made to keep you in your same apartment when you wish to extend your stay, but there is no guarantee. For best results, reach out no less than 30 days in advance of your move-out date, and ensure you have approval from your HCTec recruiter.

From there, email concierge@urbandoor.com with your extension request, cc'ing your HCTec recruiter and Barbara Melton from A&I Travel (barbara@aitvl.com). Failure to do so could result in slower response times and an inability to meet your requests. Please also note that cancellations vary by provider. In many cases, they have "strict" policies where once payment is given, it is not refundable.
